From sign-up to your first employee record — a no-fuss walkthrough for setting up your TeamCey workspace the right way the first time.

Switching to a new HR system feels like a big project, but the first run in TeamCey is genuinely quick. The trick is to set a few defaults up front so every payroll and attendance run afterwards just works. This guide walks you through it from scratch.

What you'll need before you start

  • A company email address for the admin account
  • Your company details: legal name, address and business registration number
  • Your EPF and ETF employer registration numbers
  • The pay cycle you run (almost always monthly in Sri Lanka)
  • A list of your current employees with salaries and NIC numbers

Set up your workspace step by step

  1. 1

    Create your admin workspace

    Sign up from the Get started button, confirm your email, and you will land in an empty dashboard that belongs only to your company.

    Complete your company profile

    Add your legal name, address, registration number and your EPF/ETF numbers. These appear on payslips and statutory exports, so get them right once here.

    Set your pay cycle and defaults

    Choose your monthly pay cycle, standard working days, and default allowances. New employees inherit these, saving you repetitive data entry.

    Add your first employee

    Create one employee manually to see the full flow — personal details, salary structure, and statutory settings. This is your template for the rest.

    Invite your team to the portal

    Send a portal invite so employees can view payslips and request leave themselves, instead of emailing you.

Configure once, save every month

A few minutes spent on defaults now pays off on every future cycle. Set these before bulk-adding people:

  • Standard working days and hours per week
  • Overtime rules and rates
  • Recurring allowances such as transport or meals
  • Common deductions like salary advances or loans
